Job Summary:

Provides transcript and customer service support to the Graduate Registrar’s Office. This employee will be responsible for processing transcript requests and providing customer service within the Registrar’s Office.

Minimum Qualifications:

• Some college coursework or AA degree
• Additional related job experience may be substituted for a college degree
• 2-4 years of related experience
• Basic modern office knowledge, above average computer skills, and attention to detail and accuracy. The majority of the information in this office is maintained in computer files which must be accessed in order to respond to inquiries and solve problems. Accuracy is critical to maintaining student data.
• Effective time management skills and ability to manage several projects at once with frequent interruptions.
• Excellent written, verbal and interpersonal communication skills. This position involves heavy student, faculty, staff and alumni contact.
• Discretion, personal integrity and superior ethics. This position deals extensively with confidential and sensitive information covered under federal FERPA guidelines.
• Good analytical skills and the ability to make sound judgments independently.

Preferred Qualifications:

• Bachelor’s degree
• PC computer experience and MS Office suite skills, particularly Excel.
• Experience in a college Registrar’s Office; knowledge and experience with the implementation of academic records policies and procedures.
• Proficiency with integrated educational software system. Experience with Datatel Colleague preferred.
• Experience with ImageNow document imaging system and Parchment electronic transcript system preferred.

Pay Rate: $18.13
Essential Functions:

• Assists with greeting clients, answering phones, assessing and answering questions or referring clients to the appropriate staff member. Clients include faculty, staff, students, parents, representatives from other institutions and government agencies, and the general public, whether visiting in person, on the phone, or via email.
• Processes electronic transcript requests through the on-line system. Prints hard copy transcripts as needed for walk-in and mail-in clients.
• Reconciles and submits cash/credit card receipts to Student and Departmental Accounts office.
• Coordinates the maintenance of current student files.
• Opens, processes & distributes mail.
• Scans and organizes documents for electronic records storage. Files hard copy documents in current student files.
• Other duties as assigned.
